Packed-meal quantity guide

Your registration count is only the beginning. The final meal order may also need to cover speakers, facilitators, organizers, technical staff, drivers, special meals and a carefully chosen allowance for approved late additions.

Use this guide to build a complete count for breakfast, lunch, merienda and dinner without adding the same person twice or automatically ordering too many extras.

The direct answer

## Add every approved recipient, then choose a controlled allowance

Begin with the people confirmed for that specific meal period. Add speakers, facilitators, organizers, staff, drivers and other people whose meals are included. Then add only the number of extra meals your event lead has approved.

Calculate each meal period separately. Someone who attends lunch may not be present for breakfast or dinner, and a speaker may only join one part of the program.

**Main group**Employees, participants or guests**Program team**Speakers and facilitators**Support team**Organizers and staff**Approved extras**Other recipients and allowance**Final total**For one meal period

### Do not begin with a fixed percentage

There is no universal extra-meal percentage that works for every event.

- A fixed employee list may need little or no allowance.
- A seminar with open registration may need several approved extras.
- A recurring office delivery needs a regular change deadline.
- A multi-day event needs a fresh count for each day.

The best allowance reflects how certain your attendance really is.

Multi-meal calculator

## Calculate breakfast, lunch, merienda and dinner separately

Enter the number of people who need each meal. The totals update automatically, helping you see where attendance changes during the day.

| Who needs a meal? | Breakfast | Lunch | Merienda | Dinner |
| --- | --- | --- | --- | --- |
| Employees, participants or guests | | | | |
| Speakers, trainers or facilitators | | | | |
| Organizers and event staff | | | | |
| Drivers and other approved recipients | | | | |
| Approved additional allowance | | | | |
| Special meals within the total | | | | |
| Suggested quantity | 62 | 80 | 72 | 40 |

**62**Breakfast meals, including 1 special meal**80**Lunch meals, including 2 special meals**72**Merienda meals, including 2 special meals**40**Dinner meals, including 1 special meal

Special meals are already included in each final total. Do not add them again. This calculator helps with quantity planning only; menu availability, minimum quantities, deadlines and delivery arrangements are confirmed with your quotation.

Practical group examples

## How the final order can differ from the main headcount

These are sample planning situations—not fixed formulas. Your final total should reflect the people actually included in your arrangement.

Small meeting**20**

### Confirmed employees

Add 2 visiting presenters and 1 coordinator. The attendance list is firm, so no additional allowance is approved.

Suggested starting count: 23 meals

Training session**50**

### Registered participants

Add 2 trainers, 4 organizers and 2 drivers. The company approves 2 additional meals for late changes.

Suggested starting count: 60 meals

Seminar**100**

### Confirmed participants

Add 4 speakers, 8 event staff and 3 drivers. Registration is still changing, so 5 additional meals are approved.

Suggested starting count: 120 meals

Company program**200**

### Confirmed employees

Add 6 speakers, 15 organizers and 5 supplier personnel. The attendance list is closed, so only 4 extras are approved.

Suggested starting count: 230 meals

People commonly missed

## Count everyone included in the meal arrangement

The people working behind the scenes may not appear on your registration sheet, calendar invitation or employee attendance list.

1

### Main attendees

- Employees
- Seminar participants
- Guests
- Board members
- Clients or partners

2

### Program participants

- Speakers
- Trainers
- Facilitators
- Panelists
- Moderators

3

### Event team

- Organizers
- Registration staff
- Technical team
- Documentation team
- Company coordinators

4

### Other approved recipients

- Drivers
- Photographers
- Venue staff
- Security personnel
- Suppliers included by the client

### Name one headcount owner

Choose one person who maintains the latest count, records cancellations, approves additions and sends the final quantity. Several people updating separate lists can easily create duplicates.

### Use one final source of truth

Your registration list, menu breakdown, dietary list and final quotation should all agree. Mark old files clearly so the team does not accidentally use an earlier version.

When attendance is still changing

## Choose the allowance according to how certain your count is

Extra meals can protect the event from a shortage, but excessive extras increase cost and food waste. Use the situation closest to yours.

Low uncertainty

### Closed employee list

The employees, visitors and staff are already confirmed, and last-minute walk-ins are unlikely.

- Remove known absences.
- Add confirmed visitors and staff.
- Use little or no allowance when approved.

Moderate uncertainty

### Registration-based seminar

Participants may cancel, speakers may change or a few approved late registrations may still be accepted.

- Set a registration closing time.
- Track cancellations and additions together.
- Choose a small, deliberate allowance.

Higher uncertainty

### Open attendance or rotating shifts

Walk-ins, schedule changes or staff rotations make the final number less predictable.

- Confirm who may approve extra meals.
- Update quantities by shift or batch.
- Use an internal cutoff for changes.

**When the count is not final:** send Jojie's your present estimate, the expected confirmation date and the number of extras your event lead is considering. This gives us a more useful starting point than waiting until every detail is perfect.

Full-day and multi-day events

## Do not copy one quantity across every meal

Attendance often rises and falls during the day. Calculate the people present for each meal instead of using the highest count for all meals automatically.

| Meal period | What to confirm | Why the number may change |
| --- | --- | --- |
| Breakfast | Who arrives before the first session and whether organizers or staff eat earlier | Some participants and speakers may arrive later in the morning |
| Lunch | Main attendance plus speakers, facilitators, visitors and on-site staff | Lunch often has the largest number of recipients |
| Merienda | Who remains for the afternoon program | Participants may leave after lunch or before the closing session |
| Dinner | Whether dinner is for everyone or only selected guests, staff or participants | Evening attendance is often smaller than lunch attendance |
| Later event days | Returning participants, overnight guests, new speakers and staff shifts | Multi-day attendance rarely remains exactly the same |

### Calculate every room or batch when needed

When participants are divided among training rooms, departments or shifts, prepare a subtotal for each area. This makes distribution easier and helps the receiving team notice missing quantities quickly.

### Record meal-time changes clearly

A participant attending only lunch should not remain in the breakfast and dinner counts. Use a simple attendance matrix when the program spans several meals or days.

Special meals and dietary labels

## Keep special meals inside the total—not on top of it by mistake

A special meal normally replaces the general meal for the same person. Count the recipient once, then identify which meal must be prepared and labelled differently.

### Correct count for 50 recipients

General meals**48**Confirmed special meals**2**Total before allowance: 50 meals

The two people receiving special meals are already part of the 50 recipients.

### Avoid accidental double-counting

- Match every special meal to one person or assigned group.
- Remove that person from the general-menu quantity.
- Keep the label wording short and clear.
- Separate labelled meals during receiving.
- Discuss specific ingredients and serious allergies early.

A dish name does not confirm every ingredient or eliminate cross-contact. Only rely on arrangements specifically discussed and confirmed.

Divide the final total among menus

## Every menu choice should add back to the approved quantity

The total headcount is not enough when several meal choices are used. Confirm the exact number required for every menu and every special label.

### Example: 80 lunch meals

- Menu A: 45
- Menu B: 25
- Menu C: 8
- Special meals: 2

**45 + 25 + 8 + 2 = 80**

The menu breakdown and the final lunch quantity agree.

### Check your own menu breakdown

Menu AMenu BMenu CSpecial mealsApproved final totalBreakdown total: 80 — matches the approved total.

Recurring office lunches

## Start with a regular base quantity and one clear change process

For daily or scheduled employee meals, the main challenge is not calculating the first order. It is keeping the count accurate as attendance, shifts, holidays and approved absences change.

Set the base

### Record the usual quantity

- Normal meals per day
- Quantity per shift
- Regular special meals
- Approved allowance

Control changes

### Name the authorized contact

- Who sends daily changes
- When changes are due
- Who approves additions
- How cancellations are reported

Plan the calendar

### Prepare for unusual days

- Company holidays
- Work-from-home days
- Training schedules
- Shift changes

Copy-ready final count sheet

## Keep the quantity, menu breakdown and delivery details together

Use one final document for the event team and quotation request. Replace the blanks with the details you already know.

### Before sending the final count

- Remove cancellations and duplicates.
- Confirm who receives every special meal.
- Check that menu quantities equal the total.
- Use separate totals for every meal period.
- Include the receiving and delivery details.

You may leave unfinished details blank when making an initial inquiry. We can help you identify what still needs to be confirmed.

Frequently asked questions

## Packed-meal quantity questions

How many packed meals should I order?

Add the people confirmed for that meal period, including speakers, facilitators, organizers, staff and other approved recipients. Then add only the allowance approved for possible late additions.

Should I order extra meals?

Consider a controlled allowance when attendance is still changing or approved late arrivals are possible. A firm employee list may need little or no allowance, while open registration may need several extras.

What percentage of extra meals should I order?

There is no single percentage that is right for every event. Base the number on how certain the attendance is, whether walk-ins are allowed and who may approve late additions.

Do special dietary meals increase the total?

Usually no. A special meal replaces the general meal for that recipient. For 50 recipients with two special meals, the normal breakdown would be 48 general meals plus 2 special meals.

Should breakfast and lunch have the same quantity?

Not automatically. Some people arrive after breakfast, while lunch may include the highest attendance. Calculate every meal period separately.

How do I divide the total among several menus?

Give an exact quantity for every menu and special meal. Add the complete breakdown to confirm it equals the approved total for that meal period.

What if the headcount is not final?

Send the current estimate, expected confirmation date and proposed allowance. Set one internal deadline and assign one person to record additions and cancellations.

How should recurring office meal quantities be managed?

Set a regular quantity by day or shift, record recurring special meals, choose an authorized contact and establish a deadline for additions, reductions and cancellations.
