Office and event delivery guide
Corporate Meal Delivery Checklist for Offices and Events
The food can be prepared correctly and still arrive too late for your team if the delivery is delayed by Metro Manila traffic, the wrong building entrance, security registration, loading restrictions or an unavailable elevator.
Use this checklist to plan the complete journey—from the kitchen to the correct room—and make sure someone is ready to receive, check, sort, distribute and clear the order before the meal begins.
The direct answer
Plan the delivery to arrive before the food is needed
Begin with the actual meal or seminar-break time, then work backward. Allow time for traffic, security registration, supplier access, unloading, elevators or stairs, room delivery, counting, label checks, sorting and final arrangement.
The street address is not enough. A complete delivery route should tell the team exactly where to enter, where to unload, which tower and elevator to use, what floor and room to reach, and who will meet them.
A useful delivery plan answers three questions: How does the order enter the property? Who receives it? How much time is available to check and organize everything before serving?
The complete delivery day
Plan from quotation to cleanup
A good delivery plan begins before the vehicle leaves and continues until the meal area has been cleared.
Confirm the order
Finalize the meal format, quantities, menu breakdown, labels, arrival window, fees and building instructions.
Prepare the workplace
Coordinate security, clear the receiving area, prepare lists and assign the people who will meet the delivery.
Receive and organize
Guide the order to the correct room, count the items, check labels and sort everything before distribution begins.
Serve and clear
Release the meals according to the plan, track unclaimed items and manage packaging, waste and reusable equipment.

Estimate when the delivery should reach the property
Enter the actual meal time and the minutes your team expects to need inside the property. This calculator helps create a planning estimate; Jojie’s will confirm the practical delivery arrangement for the order.
This estimate starts when the delivery reaches the property. It does not calculate road travel from Jojie’s to the venue.
Building and venue access
Describe the route from the property entrance to the final room
Large office complexes, mixed-use properties, hotels, campuses and event venues may have different entrances and procedures for suppliers.
Property entrance
Identify the exact gate or supplier entrance. Do not assume the public lobby accepts food deliveries.
Security and registration
Confirm endorsements, IDs, supplier accreditation, vehicle details or passes required before entry.
Loading and parking
Share where the vehicle may stop, how long unloading is allowed and whether a trolley can be used.
Elevator or stairs
Identify the correct elevator, operating hours, waiting procedure and any route that requires hand-carrying.
Final room
Give the floor, room name, department and the person who will meet the delivery at the destination.
Ask the property administrator
- Does the supplier need accreditation or an endorsement?
- Which entrance and unloading area should be used?
- Is parking available during the requested period?
- Which elevator accepts food and equipment?
- Are trolleys allowed?
- Can the delivery go directly to the event room?
- Are weekend or after-hours rules different?
- Where should packaging and waste be brought?
When access is difficult
Tell Jojie’s early when the route includes long walks, several floors, stairs, multiple rooms, accreditation delays or a short permitted loading window.
These details affect the practical arrival time and how the order should be packed, grouped and received.
Choose the right receiving setup
The delivery checklist changes with the meal format
Packed meals, food trays and buffet catering need different space, equipment and workplace support after they reach the room.
Packed meals
- Prepare a counting and sorting table.
- Confirm quantities for every menu.
- Keep special and labelled meals separate.
- Assign people to distribute by group or room.
- Prepare packaging and waste stations.
Helpful when: speed, exact portions and distribution control matter.
View Packed Meals ManilaFood trays
- Prepare a stable serving table.
- Arrange plates, utensils and napkins.
- Provide the required serving utensils.
- Plan guest movement around the table.
- Assign people to serve, replenish and clear.
Helpful when: the office can manage a relaxed self-service lunch.
Browse Food Trays ManilaBuffet catering
- Confirm supplier setup-entry time.
- Reserve the buffet and dining space.
- Check venue equipment and power rules.
- Confirm staff and guest responsibilities.
- Agree on clearing and collection arrangements.
Helpful when: presentation and coordinated service are part of the event.

Give every delivery-day responsibility to a named person
A correct order can still be delayed when no one is available to meet it, check it or move it to the serving area.
Access contact
- Coordinates security
- Provides endorsements
- Confirms the correct entrance
- Answers access questions
Receiving lead
- Meets the delivery
- Guides it to the room
- Checks totals and inclusions
- Reports concerns immediately
Distribution lead
- Sorts by menu or group
- Controls special meals
- Manages queues or serving
- Tracks unclaimed meals
Clearing lead
- Prepares waste containers
- Separates unopened meals
- Collects reusable items
- Resets the room afterward
Choose a backup contact. The main receiving person may be in a meeting, away from the phone or delayed elsewhere in the building when the delivery arrives.
Receive before distributing
Check the order while everything is still together
Once meals are distributed to several rooms or departments, it becomes much harder to confirm quantities, labels and inclusions.
Check before release
- Confirm the total meals, trays or sets.
- Check the quantity for every menu.
- Confirm bottled water, drinks or other inclusions.
- Identify special and labelled meals.
- Check room, floor or department groupings.
- Keep the quotation or order summary available.
- Report any difference before general distribution.
Prepare for service
- Move the order into the agreed receiving area.
- Keep doors, exits and office pathways clear.
- Separate meals by room, shift, department or label.
- Protect laptops, documents and office equipment.
- Do not leave food unattended in public areas.
- Begin distribution or service at the agreed time.
Special meals and dietary labels
Keep assigned meals visible and controlled
A special meal can easily be taken by the wrong person when it is placed with the general order without a clear label and recipient list.
| What to prepare | Before delivery | During receiving and distribution |
|---|---|---|
| Specific food concern | Record the actual ingredient or requirement discussed. | Match the meal to the confirmed label and recipient. |
| Final quantity | Count every special meal within the approved total. | Confirm the labelled quantity before releasing general meals. |
| Alternative meal | Confirm what Jojie’s can prepare and what it replaces. | Do not exchange meals casually during distribution. |
| Label wording | Use a clear name, code, room or department reference. | Keep the label visible and the meal separate. |
| Serious allergy | Raise specific ingredient and preparation questions early. | Assign the meal directly instead of placing it in open self-service. |
A menu name does not confirm every ingredient or rule out cross-contact. Only rely on arrangements specifically discussed and confirmed.

Frequently asked questions
Corporate meal delivery planning
How early should a corporate meal delivery arrive?
Work backward from the actual meal time and allow for traffic, security, unloading, elevators, room travel, counting, label checks and arrangement. The practical delivery window depends on the property and order.
What address details should we provide?
Provide the complete street address, nearest landmark, building or tower, correct supplier entrance, floor, room, department, elevator instructions and a reachable receiving contact.
Who should receive the delivery?
Choose someone who knows the order, can coordinate security, can be reached immediately and can guide the delivery to the correct room. Assign a backup contact as well.
Should we check the order before distributing it?
Yes. Confirm the total, menu quantities, drinks or inclusions, special labels and room groupings while the order is still together.
Does delivery include internal distribution and cleanup?
Not automatically. Distribution, serving, clearing, waste handling and collection depend on the service and the responsibilities confirmed in the quotation.
What if the building requires supplier accreditation?
Begin the accreditation or endorsement process before delivery day and send Jojie’s the required documents, vehicle details, entry schedule and correct supplier entrance.
How should special meals be handled during delivery?
Count special meals within the total, use clear labels, keep them separate from general meals and give them directly to the assigned recipient when possible.
How do recurring office deliveries stay organized?
Document the normal working days, quantity, arrival window, receiving route, menu plan, authorized contact, change deadline and holiday exceptions.
